The Senior Admin and Facility Executive will oversee daily administrative operations, manage office support, coordinate with vendors, and ensure seamless office logistics and services functioning. This position is vital in supporting business operations and creating a professional and efficient work environment. As part of the role, one shall work on all the executive assistance needed in managing calendars, events and working with global teams.
Key Responsibilities
•Oversee daily administrative and facility operations to ensure efficient workflows.
•Oversee daily transport arrangements and logistics.
•Manage office infrastructure, facility services, office supply inventory, and vendor coordination.
•Organize meetings, conferences, and internal events — managing scheduling, logistics, and documentation.
•Draft and distribute reports, presentations, communications, and other business documents.
•Coordinate travel arrangements, visa processing, and travel documentation.
•Liaise with recruitment vendors and support onboarding activities.
•Maintain confidentiality and handle sensitive information with professionalism.
•Serve as the point of contact for internal teams and external stakeholders.
•Raise PRs, manage invoice processing, and follow up on vendor payments.
•Supervise facility and support staff to ensure smooth daily functioning.
•Work with global teams and stakeholders as needed to coordinate events, arrangements etc.
Required Skills & Qualifications
- Bachelor’s degree in business administration, Management, or related field
- 5–10 years of experience in administrative or office management roles.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office tools.
- Excellent multitasking, time management, and organizational skills.
- Strong verbal and written communication skills with keen attention to detail.
- Experience in working with global teams and stakeholders.
- Ability to manage flexibility and adaptability to ensure smooth operations and work progress.
- Proven ability to manage vendors and collaborate across departments.
- Familiarity with HR administration and compliance processes.
- Ability to work independently and as part of a team in a dynamic environment.
